Why do we collect, process, and store personal data?
Code Academy is a software training academy operated by On Training Ltd. with VAT ID: 204154179, offering professional programming courses to its clients. To this end, it conducts a selection process for course candidates.
In this context, there is a legitimate interest in collecting, processing, and storing personal data during the selection procedure, as well as in connecting with candidates through various communication channels such as phone, email, Viber, and Facebook Messenger for the purpose of advancing and processing their candidacy.
Collecting and processing data enable us to manage the procedure, evaluate, and confirm the abilities of the candidates. You are not obliged to provide us with any data, but then we will not be able to provide you with our services.
By accepting our privacy policy, you agree to communicate with us via phone, email, Viber, and Facebook Messenger regarding the advancement of your candidacy during the selection process. If you wish to terminate communication, please notify us at dpo@codeacademy.bg or through the contact form on the website. Withdrawal of your consent will terminate your participation in our initiative.
With your consent and in compliance with legal requirements, we will provide you with personalized content such as advertisements, promotions, or news related to our courses via email, Viber, and Facebook Messenger. You can withdraw your consent at any time without consequences for your participation in our initiative.
In what cases do we collect data?
The collection of data from candidates is carried out online through a form that you fill out on our website www.codeacademy.bg. We collect your data in two ways: (1) directly, when you provide information to apply or inquire about the service; and (2) indirectly through the technology of the website.
We need to collect, process, and store personal data to take the necessary actions regarding your candidacy before entering into a Training Agreement with you. Additionally, we will collect, process, and store your ID card data to conclude the agreement with you.
For paid training options, we will need to collect and process other data related to payment – bank account number or credit card information – to issue the corresponding payment document and process the payment.
If your application for free training is not approved and you do not choose a paid form of training, Code Academy may keep your personal data (contact information (names, phone, email address) and/or your resume) in a file in case future opportunities for courses arise for which you would be a suitable candidate. Before storing your personal data for this purpose, we will request your consent, which you can withdraw at any time without consequences for you by stating your refusal at dpo@codeacademy.bg.
Regarding future course opportunities, we may contact you for advertising purposes – by phone, email, Viber, and Facebook Messenger, for which we will explicitly request your consent.
What data do we collect and how do we collect it?
- We collect your data such as name, surname, email, and phone number when you submit your application through a contact form filled out on our website www.codeacademy.bg.
- The website gathers information about your visit, the pages you browse, and the content you access or download in the form of “cookies.” These are text files generated and stored on your computer’s hard drive each time you visit a website. They allow us to track your activity on our website and provide you with a more efficient and personalized service. For example, for sites that require registration, a small text file may be saved on your computer, allowing you to skip the registration process on subsequent visits to the site. We give you the choice to decide whether you want to accept cookies or not, and you can withdraw your consent at any time. If you choose not to accept the use of cookies, your navigation on the site may be partially hindered. Code Academy uses cookies for marketing purposes, personalization of the services we provide, compiling our monthly website visit reports, and improving its operation. We do not use cookies to extract information from your computer.
The types of cookies we use are:
- Session cookies: temporary cookies that remain in your web browser’s cookie file only for the duration of your visit and are deleted when you close the browser.
- Persistent cookies: they remain in your web browser’s cookie file even after the browser is closed, for a period of up to 1 year. Persistent cookies are used for your convenience, so you don’t have to register every time you use the site. We need to know who you are for more than one browsing session (for example, to remember your username or site customization preferences).
- First-party cookies: these are cookies placed in your browser and/or hard drive by Code Academy. This includes assigning a unique identifier to track your movement on the website. We use first-party cookies primarily for session management and recognition purposes.
- Third-party cookies: these are cookies used by third parties, such as social networks, to track your visits to various sites where they advertise. Third-party cookies used on the Code Academy website include those from Google Analytics and social networks.
- If your application is approved after the final stage of selection, before entering into a Training Agreement with you and in order to properly draft the contract, we will ask you to provide us with identity document data – full name, personal identification number (EGN), permanent address, ID card number, date of issue, issued by, validity period. These data are stored in your personal file with a high level of security.
- For paid services, the personal data you provide us with: your name, email address, phone number, personal identification number (EGN), credit card number, or bank details, will be used solely for processing your order and providing the training course you requested.
- If you follow us on social media such as Facebook, Instagram, LinkedIn, Twitter, etc., including if you do so through our website, we will have access to the public information in your profile, but we will not be able to take any actions on your behalf. Our post could appear on your profile only if you decide to share it yourself.
The security policies of each social network comply with the applicable legislation. You can adjust your profile according to your needs and requirements, and Code Academy is not responsible and will not be involved in this.
All data you decide to provide us with will be stored and processed in accordance with our internal security procedures, in line with Bulgarian legislation.
How do we process your data?
In order to provide higher quality services and improve our candidate recruitment activities, we use automated software solutions where we utilize your data for analysis, email marketing, digital marketing, and advertising. These include:
- Google Analytics, Facebook Pixel – for analyzing website and landing page visits. We use this data as anonymous statistics for compiling monthly activity reports, and with your explicit consent – for providing personalized offers for suitable training and career opportunities.
- SendInBlue, MailChimp – for email communication with you regarding your candidacy, reminders for upcoming events, promotional messages, and automated email campaigns.
- Tutor LMS, Moodle, FlexiQuizz – for conducting knowledge tests, checking homework, and other tasks related to your candidacy and subsequent training events.
All the aforementioned software solutions adhere to legislative measures for the protection of personal data, as well as best practices in the field. For example, you can unsubscribe from the mailing list at any time or make individual adjustments regarding which messages you receive and which you do not.
Who has access to your data?
Your scholarship application may be internally exchanged for the purposes of conducting the selection process. This includes a member of the Human Resources department, an Administrative department representative, an interviewer, or any other individual participating in the selection process at Code Academy.
Your name, phone number, and email address will be accessible to a partner company providing us with a combined marketing service (phone calls when necessary and sending email messages) so you can stay informed about the progress of your candidacy and receive relevant notifications. C Care BG is an outsourcing company holding ISO 27001 information security and ISO 9001 quality certificates.
Only the Manager and a representative from the Accounting department will have access to your identity document data for the purpose of drafting the training contract, signing it, and creating your personal file.
After completing the training course, with your consent, an IT company interested in hiring you will also have access to your candidacy.
Data Protection
We have active internal policies and technological solutions in place to ensure that your data will not be used for purposes other than intended, distributed, or accessed by individuals outside of those listed in the previous section.
How long does Code Academy store data?
If your application has not been approved, Code Academy will keep your data for 6 (six) months after the completion of the selection process. If you agree to store and process your personal data for future training opportunities, we will keep and process your data until you withdraw your consent.
Your data is deleted or destroyed according to a legally established procedure by the Data Protection Officer.
If your application has been approved, your personal data will be stored for periods in accordance with applicable Bulgarian legislation.
Your Rights
As a data subject, you have a set of rights. You can:
- Access and obtain a copy of your data upon request.
- Request Code Academy to correct inaccurate data or complete incomplete data in your personal file.
- Withdraw your consent for Code Academy to process your application data (stored for future appointment opportunities) without having to provide a reason.
